Voice AI Receptionist: 7 Steps to Decide What It Does With Each Call, Not How It Sounds

Most trade owners pick a voice AI receptionist by how natural it sounds in a demo. This 7-step checklist has you decide what it does with each call first.

CallCrewHQ: Voice AI Receptionist: 7 Steps to Decide What It Does With Each Call, Not How It Sounds

Most owners pick a voice AI receptionist by listening to the demo and asking one question. Does it sound human? That is the wrong test. A smooth voice with no instructions for your calls still loses you the job. Decide what should happen to each call first. Then judge the voice.

The seven steps below run in the order you would do them. Set aside an evening with your phone's call log and a pen.

1. Write the job in one sentence

Before you talk to any vendor, write down what you want the receptionist to do when the phone rings. Keep it to one sentence. A good one reads like this: "Answer every call, get the address and the problem, and either book a visit or text me."

If your sentence needs "and also" more than twice, it is too big. A voice AI receptionist is a call handler. It is not a salesperson, an estimator or a dispatcher. Start small. You can widen the job later.

2. Sort last month's calls into three piles

Open your call log and put every call into one of three piles: book it, hand it off, or drop it.

  • Book it: new customers with a clear job in your service area, such as a leaking water heater or a ridge cap that blew off.
  • Hand it off: anything that needs your judgment or your voice, such as an angry repeat customer, a supplier, or a commercial bid.
  • Drop it: spam, wrong numbers, sales pitches.

Here is a worked example. Say a roofer sorts 20 calls and finds 11 new-job calls, 5 from the crew or suppliers, and 4 junk. That roofer now knows the receptionist should book eleven kinds of call, forward five, and politely end four. Your numbers will differ. The sort is what matters, because it turns a vague wish into rules you can write down.

Most vendor pages describe what their software can do. Almost none ask what your calls actually are. This sort is the step they skip.

3. Set the callback promise

When the receptionist cannot book a job on the spot, it has to tell the caller something. Decide the exact words. "Someone will call you back" is weak. "Dave will call you within the hour" is a promise, and you have to keep it.

Pick a window you will actually hit. If you are on a roof until 3 p.m., say so. A caller who hears an honest time will wait. A caller who hears a vague answer rings the next company.

The logic from your side is simple. Callers rarely leave voicemail. A missed call usually sends them to the next business on the list. The receptionist exists to stop that, and the callback promise is what holds them.

4. Write your ring-through rule

Some calls should reach your cell phone live. Most should not. Write the rule in plain terms.

  • Which callers get put through, by name or by number?
  • Which situations get put through, such as an active leak or a customer already on site?
  • What hours does the rule cover?

When you are under a sink with both hands in a trap, you do not want your phone ringing for a supplier. You also do not want to miss a burst pipe. The rule has to tell the two apart. Keep it to three or four lines. A long rule list gets forgotten and misapplied.

5. Decide what it says about being an AI

Some callers will ask if they are talking to a person. Decide your answer now, not at 7 a.m. on a Saturday. The simplest answer is the honest one: "I'm the AI receptionist for [business name]. I can take your details and book a visit."

Honesty is also turning into a legal matter. The FCC has ruled that AI-generated voices in robocalls count as artificial under the Telephone Consumer Protection Act. That ruling covers outbound robocalls, not calls a customer places to you. Still, the FCC's announcement shows where regulators are heading, and a plain disclosure keeps you clear of trouble either way.

To a homeowner, trust matters more than polish. A caller who hears the truth and still gets a booked visit has nothing to complain about.

6. Check call recording rules for your state

Most voice AI receptionists record or transcribe calls. US recording rules differ by state. Some states require consent from only one party. Others require consent from everyone on the call. If you take calls from customers in more than one state, follow the stricter rule.

The Reporters Committee for Freedom of the Press keeps a state-by-state guide to recording laws. It is written for journalists, but it lays out the one-party and all-party split clearly. Ask your vendor how the greeting gives notice. If you work across state lines, confirm with a local attorney.

7. Set a keep-or-cancel rule for day 30

Write your exit test before you start. Pick two or three measures you can read off your own records.

  • How many new-job calls came in, and how many ended with a booked visit or a completed callback?
  • How many handed-off calls reached you correctly?
  • How many callers complained or hung up angry?

If the booked-or-completed number is not clearly better than your old voicemail, cancel or change the setup. Check the price too. How Much Does an AI Receptionist Cost for Trades? (2026) covers what to expect on the bill. A call handler pays for itself only when the jobs show up on your calendar. For the booking side, see Can an AI Receptionist Book Jobs for Trades? (How It Works).

The trades are busy. The U.S. Bureau of Labor Statistics tracks steady demand for skilled workers such as plumbers, pipefitters and steamfitters. More work means more calls. More calls mean more chances to lose a job to a missed ring.

What to do next

You now have a one-sentence job, three piles, a callback promise, a ring-through rule, an AI disclosure line, a recording check and a day-30 test. That is a better brief than most vendors ever get. It also shows you fast whether a provider can do what you need.

CallCrewHQ sets up its AI receptionist around each business: its services, service area, hours and the questions to ask before booking. Questions, answered

What is a voice AI receptionist?

A voice AI receptionist answers your business phone with an AI voice, collects the caller's details, and books a visit or passes the call to you. It does the front desk work so you do not have to stop a job to pick up.

Should a voice AI receptionist tell callers it is an AI?

Yes. A short, honest line such as saying it is the AI receptionist for your business, followed by an offer to book a visit, keeps trust high and avoids trouble if a caller asks directly.

Do I need to worry about call recording laws?

Yes. Recording consent rules differ by state, and some states require every person on the call to consent. Ask your vendor how the greeting handles notice and confirm with a local attorney if you serve more than one state.

How do I know if the receptionist is working after the first month?

Compare booked visits and completed callbacks against your old voicemail results. If the new setup is not clearly better, change the rules or cancel.
