After Hours Answering Service: 7 Steps to Script What It Says When Callers Ask About Price, Hours and Who They're Talking To

Most owners pick an after hours answering service on price and hours, then give it no answers to the questions callers ask first. Here are seven steps to write those answers before the phone rings.

The mistake most owners make is picking an after-hours answering service on price and coverage hours, then handing it a blank page. The caller at 9 p.m. does not want to leave a message. They want to know how much, whether you are open, and whether they are talking to a person. If the service has no answer ready, the caller dials the next business on the list.

This checklist covers the part the sales pages skip: what the service says back. Work through it in order before you go live.

1. Write down the first five things callers ask

Pull the last month of calls from your phone log and voicemail. Skip the job details. Look only at the opening question. For most trades the list is short: "How much?", "Can someone come tonight?", "Do you work in my area?", "Do you do this kind of job?", and "Is this a real person?"

Put those five at the top of a one-page sheet. Every step below fills in one answer on that sheet.

  • Use real calls, not what you think callers ask.
  • Keep the caller's wording, not your trade jargon.
  • If you have no call history yet, write down what you would ask a plumber you had never met.

2. Pick one of three price answers and commit to it

Price is the question that loses the most jobs after hours, because a vague reply sounds like a dodge. Choose one of three rules for each job type:

  • Give a number only when you would honor it on any day of the week.
  • Give your visit or diagnostic fee when the final price depends on what you find.
  • Promise a callback with a price by a set time when neither of the first two is honest.

Here is a worked example. A caller phones at 1 a.m. with a leaking water heater and asks what it costs. You cannot quote a replacement without seeing the unit. So the answer is your after-hours visit fee, plus a plain statement that you give the repair price on site before any work starts. That answer is true and specific, and it lets the caller decide. Write the exact sentence on your sheet.

Never let the service guess a figure. A guessed price becomes your price the moment the caller repeats it to you at the door.

3. Decide what "are you open" really means

A caller asking "are you open?" at night wants to know whether someone will come. Your answer should cover three cases: a dispatch tonight, the first slot in the morning, and the next available day. Write down which job types fall into each one.

Then check that your public listings say the same thing. Your Google Business Profile hours drive what people see before they call. If the listing says closed and the service says someone will be out tonight, the caller does not know which one to believe.

4. Script the "am I talking to a person" answer

Callers ask this within the first few seconds, and a dodge costs trust fast. Write a short, honest line. If the front line is an AI, say so in plain words and say what happens next: it takes the details, and you or a dispatcher follows up.

Settle call recording too. The rules on recording a phone call differ by state, and some states require every party to agree. The Justia 50-state survey on recording phone calls is a fair starting point. Your service provider should tell you how it handles notice in your state.

  • Put the opening greeting in writing, word for word.
  • Decide whether the greeting mentions recording.
  • Ask the provider to read the greeting back to you on a test call.

5. Name the words that trigger an emergency handoff

A service that treats a burst pipe like a quote request is worse than voicemail. List the exact phrases that should jump the queue: "water everywhere", "no heat", "gas smell", "sparking", "tree through the roof". Beside each one, write who gets the call and how fast.

Put a safety line first. For a gas smell or active fire, the script tells the caller to leave the building and call 911 before anything else. Your dispatch process takes over from there. 6. Write the polite "no" answers

After hours, a lot of calls are jobs you do not want. Some are outside your service area. Some are for a trade you do not cover. Some want a free quote across town. Each one costs you time at 7 a.m. if the service books it anyway.

Write a short refusal for each, and give the caller somewhere to go. A caller told "we don't cover that area, try a local roofer there" remembers you kindly. A caller left on hold remembers nothing.

This is where per-business setup matters. CallCrewHQ builds the AI around each business's own services, service area, hours, and booking questions, so the refusals and questions come from your sheet and not from a generic template.

7. Test with three phones, then listen to the calls

Call the service yourself at night from three phones, and ask a different one of your five questions each time. Ask the price question twice, once for a fixed-price job and once for a job without a fixed price. Listen for these failures:

  • A number you never approved.
  • A pause long enough that a real caller would hang up.
  • An emergency phrase that did not trigger the handoff.
  • A booking in an area you do not serve.

Fix the sheet, then test again. Callers rarely leave voicemail, so the first answer they hear is the only chance you get. Our After-Hours Calls: Jobs Competitors Sleep Through post covers what that gap costs, and How Call Crew Works shows how the setup turns your sheet into live call handling.

For a sense of the market you work in, the Bureau of Labor Statistics outlook for plumbers shows how steady the trade work is. The calls are there. The only open question is who answers them. If you run a plumbing shop, see AI Front Desk for Plumbers in the United States.

Questions, answered

What should an after hours answering service say when a caller asks for a price?

It should give a number only if you would honor it on any day. Otherwise it should state your visit or diagnostic fee, or promise a callback with a price by a set time. It should never guess.

Should an after hours answering service tell callers it is an AI?

Yes. Callers often ask within seconds, and a plain answer protects trust. The greeting should say what happens next, such as the details going to you for follow-up.

Is it legal for an answering service to record calls?

It depends on the state. Some states need every party to agree. Check your state's rules and ask your provider how it handles recording notice.

How do I test an after hours answering service before going live?

Ring it at night from three different phones and ask a different common question each time. Listen for guessed prices, long pauses, missed emergency triggers and bookings outside your area.
